Merging PDF files is one of those small jobs that comes up all the time: a contract and its appendices, a stack of scanned receipts for an expense claim, a CV with certificates attached, or a report that was written in several parts. Sending one file instead of five is easier for the person who receives it, and it keeps the pages in the order you intended. This guide shows how to merge PDFs quickly, what to check before you do it, and what can change inside a merged file.
Merge PDFs in four steps
- Open the PDF merger and add your files by dragging them onto the page or choosing them from your device.
- Put them in order. Drag the files into the order the pages should appear in the finished document.
- Merge. The tool combines every page into a single PDF.
- Download the new file and open it once to check that every page is there and in the right place.

Before you merge: a short checklist
- Name files with numbers. Names like 01-contract.pdf, 02-appendix-a.pdf and 03-appendix-b.pdf make the right order obvious and save time when you sort them.
- Remove passwords first. A password-protected or encrypted PDF usually cannot be merged until its owner removes the protection.
- Check scan quality. Scans at 300 dpi are sharp enough for reading and printing. Scans at 600 dpi or more look the same on screen but make the merged file much larger.
- Think about the size limit of the recipient. Many email services stop at around 20 to 25 MB per message. Compress large scans before you merge rather than after.
What can change inside a merged PDF
Most PDFs merge without any surprises, but some features belong to the original file and do not always survive being combined with others.
Digital signatures
A digital signature proves that a document has not changed since it was signed. Merging changes the document, so the signature is usually shown as invalid afterwards. If signatures matter, merge first and sign the finished file, or send signed documents as separate attachments.
Form fields
Fillable fields with the same internal name in two different files can clash, so typing in one field fills the other. If you need working forms, test the merged file before sending it.
Bookmarks and links
The bookmarks panel and links that jump to another page inside the document may not carry over. Links to websites normally keep working.
Page sizes
Combining A4 and US Letter pages works, but printers may scale some pages slightly. If the document will be printed, use one paper size throughout.
Free ways to merge PDFs offline
For very sensitive documents, such as passports, medical records or bank statements, you may prefer to merge files without uploading them anywhere. These options are free:
- macOS Preview: open the first PDF, show thumbnails in the sidebar, then drag the other PDFs into the sidebar in the right position and save.
- Linux: the
pdfunitecommand from poppler-utils joins files in order:pdfunite 01.pdf 02.pdf 03.pdf merged.pdf. - Any system with qpdf:
qpdf --empty --pages 01.pdf 02.pdf -- merged.pdfdoes the same and keeps the files' internal structure tidy.
Windows has no built-in merge feature, so most people use an online tool or install a free program for it.
Privacy tips for online PDF tools
Contracts, bank statements and ID scans contain personal data. Use online tools you trust, do not upload documents that your employer or a law requires you to keep on your own systems, and delete downloaded copies you no longer need. It is also worth asking whether the recipient really needs every page: removing an unnecessary ID scan is the simplest privacy protection there is.
Common problems and how to fix them
- A file will not upload: it is probably password-protected or damaged. Open it in a PDF reader to check, and save a fresh copy if it opens.
- The merged file is too big: reduce the resolution of scanned pages, or compress the images before merging. Photos taken with a phone can be shrunk first with the image resizer.
- Pages are in the wrong order: rename the files with numbers and merge again; it is quicker than reordering pages afterwards.
- Blank pages appear: some scanners save an empty back side for every sheet. Remove those pages from the original scan before merging.
